Who is responsible

Where another of our entities contracts with you — in the UAE, Australia, Canada or Hong Kong (CLOUDS4YOU LIMITED) — that entity is the controller for the contractual relationship. All entities are listed on the verification page.

What we collect

When you email us. Your name, email address, and whatever you choose to write. We keep the correspondence so we can pick up where we left off. Legal basis: legitimate interest in responding to an enquiry, or steps taken prior to entering a contract.

When you become a client. Contract and billing details, contact details for the people we work with, and the technical information needed to deliver the work. Legal basis: performance of a contract, and legal obligation for invoicing and sanctions screening.

When you visit the site. No cookies, no analytics scripts that identify you, no advertising trackers, no social media pixels. Our hosting provider processes standard server request data, including IP addresses, to serve pages and protect against attacks.

The wizard and the question panel. Both run entirely in your browser.

Who else sees it

Forms and the AI assistant. Forms on this site — quote requests, the licensing and migration calculators, support-plan, Open Value and add-licence requests, the blog subscription — are submitted to a Cloudflare Worker under our control, which emails the content to almak@itpartnerhq.com through Resend, an email delivery service, and, where you ask for a copy, to the address you entered. We keep that email as we keep any correspondence; nothing is written to a database or shared further. The on-site AI assistant sends the text of your conversation to Anthropic’s API to produce an answer; Anthropic does not use it for training, and we store nothing from it unless you choose to send the conversation to an engineer, in which case it arrives as an email like any other form.

Microsoft. Where we act as your Cloud Solution Provider, the subscription and tenant administration data sits in Microsoft’s systems under their terms.

Our US location. Some project work is delivered by IT Partner LLC, our headquarters location in the United States. Where that involves access to your data, it is covered by the data processing agreement we sign with you and named in the sub-processor list.

Our hosting and email providers. This site is hosted on Cloudflare infrastructure. Our email runs on Microsoft 365 in the European Union.

We do not sell personal data, and we do not share it for advertising.

Where it is held and for how long

Correspondence and client records are held in our Microsoft 365 tenant in the European Union. Enquiries that do not become clients are kept for up to two years and then deleted. Client records are kept for the duration of the relationship and afterwards for as long as accounting and tax law requires, which in Estonia is seven years.

Your rights

Under the GDPR you may ask for a copy of the personal data we hold about you, ask us to correct or delete it, ask us to restrict how we use it, object to processing based on legitimate interest, and ask for your data in a portable format. Write to almak@itpartnerhq.com and we will respond within one month.

If you are not satisfied with how we handle it, you can complain to the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon) or to the supervisory authority in your own country.

Data processing agreements

Clients who need one get an Auftragsverarbeitungsvertrag or equivalent data processing agreement under Art. 28 GDPR, with the sub-processor chain named. Because our European contracting entity is inside the EU, no standard contractual clauses or third-country transfer assessment are required for the contracting relationship itself. Ask and we will send the current version.
